How to use QuickSpend for quick purchases
QuickSpend is a shopping list for the business - cleaning supplies, stationery, ice - the things you buy every week. Tick items off as you buy them and ChecKmate records them as expenses.
Step 1: Create a list
In Expenses and Procurement, open the QuickSpend tab and press New List. Give it a List Name (for example Weekly Supplies), choose how often you shop for it under Recurrence (daily, weekly, monthly and so on), add the items and press Create List. ChecKmate works out roughly what the list costs you each month.
To add more items later, type the Item name and Qty and press +. You can also give each item a price, vendor and account.
Step 2: Tick items off as you buy them
Tick an item. In the window that opens, check the Quantity and choose:
- Just Check Off - ticks it, nothing else.
- Record as Expense - ticks it and records the expense (choose the Chart of Account).
Press Reset to untick everything when it is time to shop again.
Step 3 (optional): Use the cart
Press the bag icon on an item to put it in the Cart with its account and payment method. The Cart has a link you can share with the person doing the shopping. When they are done, press Record Checked Items as Expenses to record everything at once.
