How to set up the Invoice Agent to collect overdue payments
Step 1: Open the Invoice Agent
In Agent Automation, press Open the Invoice Agent. The switch at the top turns it on; while it is off nothing runs, but your settings still save.
Step 2: When it starts
Switch on Auto-send overdue reminders to have it email customers itself - off, it only recommends. Set how many days past the due date it waits before the first reminder.
Step 3: How long it keeps at it
Off, the agent does one complete round per unpaid invoice - email, then a text, then WhatsApp, then a call, whichever you have switched on - and then rests. Switch on Keep following up on unpaid invoices to repeat that round, and set the days between reminders and the most messages per invoice. Press Save.
Step 4: Which way it reaches them
Choose the channels: email, text message, WhatsApp and a real phone call - always in that order, one a day at most. Switch off the ones you do not want.
Step 5: Customers to leave alone
Under Customers to leave alone, search for a customer and press Leave alone so no agent contacts them.
Then
Turn the agent on and press Run now to see what it finds. A paid, voided or cancelled invoice drops out straight away.
Good to know
- The quickest start is the Collect Overdue Payments recipe on the Recipes tab.
- Quiet hours in Agent Settings stop any message going out overnight.
