How to run payroll and print payslips
Step 1: Create a pay period
Open Payroll from the Dashboard. The top shows this month's employees, gross pay, deductions, taxes and net payout. Press New Period.
Pick This Week, Next 2 Weeks or This Month (or set the dates yourself), add a note and press Create Period.
Step 2: Open the period and generate payslips
On the Periods tab, press View on the new period (it shows as draft).
Press Generate Payslips. ChecKmate makes a payslip for each employee from their pay settings. For hourly staff, enter Default Hours or choose Use Clock-In Hours from Actions to use their time clock.
Step 3: Approve
Check each payslip and press Approve, or Actions > Approve All.
Step 4: Record, pay and email
From Actions: Record as Expenses posts the payroll to your books (admin PIN). Then press Pay on each row, or Pay All, when the money goes out. Email Payslips sends each employee their payslip.
Step 5: Pay statutory deductions
When you have paid PAYE, NIS, NHT and other deductions to the authorities, choose Actions > Pay Statutory Deductions (admin PIN). This clears what you owe for them in your books.
Printing payslips
On the Payslips tab, filter by branch, employee, period or status. Press Print on one, tick several and press Print Selected, or use Print All Filtered or Download PDF.
Setting up deductions
Under Payroll Settings, Payroll Line Templates hold your earnings, deductions and taxes - for example NIS at 3% of gross pay. Press Add Template to add one, apply it to all employees or Assign it to some.
Good to know
- Each employee's pay rate and type (hourly or salary) is set under Employee Settings.
- Once a period is paid it is locked, so the figures cannot change by accident.
