How to record an expense
Step 1: Open Add Expense
From the Dashboard open Expenses and Procurement. Check the business and branch at the top, then press Add Expense.
Step 2: Fill in what it was
- Title - what you bought, for example Ice and cups.
- Category - pick one, or press + to make a new one.
- Amount - tap the field and use the keypad, then Confirm. Open Tax if the amount includes tax.
- Chart of Account - the account in your books it belongs to. It usually fills in from the category.
Step 3: How it was paid
Check the Date, Location and Payment Method, and choose the Supplier if there is one. Tick This purchase is a Fixed Asset for equipment you will use for years, or Customer Acquisition spend for marketing. Add notes or a document link if you like.
Step 4: Add the receipt and save
Under Receipt Photo, press Take Photo or Upload. Then press Create Expense.
The expense appears at the top of All Expenses, and in your reports and books.
Good to know
- Cash taken from the till for a purchase can be recorded straight from the POS with Cash Out and Mark as Expense.
- Bills you have not paid yet belong in Bills; stock you buy from a supplier belongs in a Purchase Order.
