How to Properly Insert a Paper Roll in a Receipt Printer
Installing a paper roll in a receipt printer may seem simple, but doing it incorrectly can cause faded prints, paper jams, or the printer not feeding at all. Whether you’re running a retail store, restaurant, pharmacy, or supermarket, knowing the correct way to load receipt paper saves time and prevents unnecessary frustration. This step-by-step guide will show you the proper way to insert a paper roll into a typical thermal receipt printer.1. Confirm You Have the Correct Paper Size
Most receipt printers use one of the following sizes:
-
80mm width (3 1/8 inch) – Most common for retail and restaurants
-
57mm width (2 1/4 inch) – Used in smaller printers
Make sure:
-
The width matches your printer
-
The roll diameter is not too large for the paper compartment
-
It is thermal paper, not regular bond paper (unless using an impact printer)
Using the wrong size can prevent the printer cover from closing properly.
2. Turn Off the Printer (Recommended)
While many printers support “drop-in” loading while powered on, it’s best practice to turn the printer off before inserting new paper to avoid accidental printing or feed errors.
3. Open the Printer Cover
Most receipt printers:
-
Have a release button on the top or side
-
Or require lifting the lid upward
Press the release and gently lift the cover. Do not force it open.
4. Remove Any Remaining Paper Core
If replacing an old roll:
-
Remove the empty cardboard core
-
Clear out any torn paper pieces
-
Check for small scraps near the cutter blade
Keeping the compartment clean prevents paper jams.
5. Insert the Paper Roll Correctly (Very Important)
This is the most common mistake.
Correct Orientation:
-
The paper should feed from the bottom of the roll
-
The loose end should come over the top toward you
Think of it as the roll “unrolling toward the front.”
If the paper feeds from underneath the wrong way:
-
The printer will not print (thermal side facing wrong direction)
-
Or the receipt will come out blank
Quick Test: Scratch the paper with your fingernail. The side that turns dark is the printable thermal side — that side must face the print head.
6. Pull Paper Slightly Out
Before closing the lid:
-
Pull about 2–3 inches of paper out past the cutter
-
Make sure it is straight and centered
This ensures smooth feeding when printing starts.
7. Close the Cover Firmly
Press the cover down until you hear a click.
If it does not close easily:
-
Check that the roll size is correct
-
Ensure the roll is sitting properly in its holder
-
Make sure no paper is folded or jammed
Never force the lid shut.
8. Turn On and Test
Turn the printer back on and:
-
Press the Feed button to test
-
Print a sample receipt from your POS system
If paper feeds properly and prints clearly, installation was successful.
Maintenance Tips
-
Store paper rolls in a cool, dry place
-
Avoid touching the print head directly
-
Clean the print head periodically with alcohol wipes
-
Replace rolls before they run completely empty during busy hours
