How to charge a POS order to a guest's room
For hotels and guest houses: when a guest orders food or drinks and wants it on their room, you put the order on the guest's account with their room number. They pay it all at once when they check out.
Step 1: Turn on Hotel Mode (owners and admins)
Go to Settings > Business, open the Industries tab, then Hotel. Turn on Hotel Mode.
Step 2: Select the guest
Ring up the order as usual, then select the guest as the customer for the order. If they are not in your customers yet, add them with the +. The customer list shows their Charge Account balance and limit.
Step 3: Choose Charge Account
Press Checkout. Under Payment Methods, choose Charge Account. (Charge Account only appears once a customer is selected.)
Step 4: Add the room number
A Room (optional) field appears under the payment.
If the guest has a room stay booked in ChecKmate, choose it from the list. Otherwise choose Enter room manually....
Type the room number and press Complete Sale.
Step 5: Give the receipt
Print the receipt for the guest to sign, or send it by email or WhatsApp. The order is now on the guest's account against their room.
Settling up at check-out
The charges sit on the guest's account until they pay. When they check out, take payment for the account balance and it clears.
Good to know
- The guest's charge account has a credit limit (the Credit Limit on the customer). Raise it first if an order would go over.
- Charge Account can be used without Hotel Mode too; Hotel Mode just adds the room number.
