How to assign users to specific registers for proper discrepancy accountability
If several people use the same tills, a cash shortage at the end of the day is hard to trace. Assigning staff to specific registers means only the people you choose can open a register - so when the cash count at closing does not match, you know exactly whose shift it was. The video shows how discrepancy alerts protect your profits; the steps are written out below.
Step 1: Open your registers
Go to Settings > Business and open the POS Registers tab. Check the business and branch under Location Selection at the top - you see the registers for that branch, each with who it is assigned to.
Step 2: Assign the users
- Press the pencil on the register you want to set up (or Add Register for a new one).
- Under Assign Users, choose the staff under Or select specific users. The count underneath shows how many you have picked.
- Press Update Register to save.
Want anyone at the branch to use it? Press Everyone (or leave nobody selected). Business admins can always open any register.
Step 3: Check it on the POS
On the register screen of the Point of Sale, each register now shows who it is assigned to.
What changes for your staff
- Only the staff assigned to a register can open it with their PIN. When someone opens that register, only their names appear in the list - other staff do not see the register as theirs to use.
- Admins, business admins and owners can always open any register, so a manager can step in.
- A register with no one assigned can be opened by anyone at the branch.
How this protects your cash
When a register is closed, the cash counted is compared with what the register expected from that session's sales, cash in and cash out. Any difference is recorded as a discrepancy against that register and the person who ran it. You can review them under Employee Management, in Recent Discrepancies.
Tips
- Give each cashier their own PIN and never share PINs - the record is only as good as the PIN that opened the register.
- Ask staff to count the drawer carefully when they close; small differences add up over a month.
