How to add users in Checkmate POS
Adding, Removing and Assigning Users in Checkmate
Everyone who signs in to Checkmate or uses the POS needs a user account.
1. Adding a User
Go to Settings → Operations → Users to open the User Management page.
| Step | Action | Details |
|---|
| 1 | Click + Add User | Located at the top right of User Management. |
| 2 | Enter First & Last Name | Enter the user's name. |
| 3 | Enter Email | Use lowercase. This will be the user's sign-in email. |
| 4 | Unique ID | Generated automatically and cannot be changed later. |
| 5 | Upload Photo | Optional. |
| 6 | Create Password | Enter and confirm a password of at least 6 characters. |
| 7 | Select Role | Choose Business Admin, Admin, Manager, or Cashier. |
| 8 | Set Active | Leave Active ticked so the user can sign in. |
| 9 | Assign Branches | Under Branch Assignment, select the branches the user can access. Admins receive access to all branches automatically. |
| 10 | Enable POS PIN | If the user will use the POS, tick Enable POS Login PIN. |
| 11 | Create PIN | Enter a 4-digit PIN for POS access. |
| 12 | Create User | Click Create User to finish. |
| 13 | Give Login Details | Give the user their email, password, and POS PIN. Checkmate does not email an invitation automatically. |
Can't See the New User?
| Problem | Solution |
|---|
| New user doesn't appear in the list | User Management only displays users assigned to the currently selected branch. Switch to one of the user's assigned branches. |
2. Removing or Deactivating a User
When an employee leaves, Deactivate should normally be used. Use Remove User only when you want the account permanently deleted.
| Action | How to Do It | What Happens |
|---|
| Deactivate User | Open ⋯ beside the user → Deactivate | User can no longer sign in, but the account remains and can later be reactivated. |
| Reactivate User | Open ⋯ → Activate | Restores the user's access. |
| Remove User | Open ⋯ → Remove User → Confirm | Permanently deletes the account. This cannot be undone. |
