Getting started with the Healthcare (Clinic) module in ChecKmate
The Healthcare module helps a doctor's office or clinic run its day. You can keep patient records, check patients into a waiting queue, record each consultation with vitals and prescriptions, and track insurance claims.
Before you start
- The Healthcare Management module is part of the Enterprise plan. If the tile shows a lock, you will be asked to upgrade before it opens.
- On your Dashboard, find the Property & Services section. It starts folded up, so tap the heading to open it, or type in the Dashboard search box.
- Tap the Healthcare Management tile. If you can't see it, ask the business owner to give you access.
When the module opens, choose your location under Select Location. You will see these tabs: Dashboard, Patients, Consultations, Prescriptions and Insurance.
The Healthcare module also has its own subscription. If it lapses, a Healthcare Module Expired notice shows at the top. You can still view your existing records.
Step 1: Register your patients
- Open Patients and tap Add Patient.
- Enter the Full Name. This is the only required field.
- Add the Date of Birth, Gender, Phone, Email, Address, ID Number and Blood Type.
- If they have insurance, add the Insurance Provider and Policy Number.
- Add the emergency contact, then any Allergies and Chronic Conditions. Separate each one with a comma, for example Penicillin, Latex.
- Tap Save Patient.
Search by name, phone or ID. Tap a patient to see their Profile, with allergies shown in red, and their Medical History. Tap Edit Patient to make changes.
Step 2: Check patients in
- On the Dashboard tab, tap Check In Patient.
- Pick the Patient and the Visit Type: Consultation, Follow-up, Emergency, Routine Checkup or Procedure.
- Add a short Reason for Visit and tap Check In.
The patient joins Today's Patient Queue as Waiting. The cards above the queue count Today's Appointments, Patients Waiting, In Consultation, Completed Today, Total Patients and Pending Claims.
Step 3: See the patient
- When the doctor is ready, tap Start beside the patient. They move to In Consultation.
- Tap the patient's row to open the consultation. It has three tabs.
- Details: fill in Symptoms, Diagnosis, ICD Code, Treatment Notes, Follow-up Date, Follow-up Notes and Lab Requests. Tap Save Consultation.
- Vitals: enter blood pressure, temperature, heart rate, weight, height, oxygen level and any notes. Tap Save Vitals.
- Rx: under Add Medication, enter the Medication Name, Dosage, Frequency and Duration, plus the quantity and instructions if needed. Tap Add Prescription. Tap Print Rx to print a prescription for the patient.
- When you are done, tap Complete in the queue.
You can also skip the queue. On the Consultations tab, tap New Consultation, fill in the visit and the doctor's notes, and tap Start Consultation. That tab lists recent visits, with View, Start and Complete buttons.
Step 4: Manage prescriptions
The Prescriptions tab lists every prescription with its status: Pending or Dispensed. When the medicine is handed over, tap Dispense. To add one here, tap New Prescription, pick the patient and one of their consultations, fill in the medicine details and tap Save.
Step 5: Track insurance claims
- Open Insurance and tap New Claim.
- Pick the Patient. Their insurance provider and policy number fill in from their record.
- Enter the Total Amount and the Coverage %. ChecKmate shows what the insurer pays and what the patient pays.
- Tap Create Claim.
- As the claim moves along, use the Update menu to mark it Submit, Approve, Reject or Paid.
Step 6: Run the visits report
Go to Reports and look under Industry Specific for the Clinic Visits & Insurance Report. Pick a date range to see Total Visits, Completed Visits, Insurance Claims, Claims Resolved, the Total Insurance Portion and a count of visits by type. This report only shows while your Healthcare subscription is active.
Tips
- Record allergies when you register a patient. They show in red on the patient list and profile.
- Tap Start before you open a visit. Notes and prescriptions can only be added once the consultation has started.
- The queue on the Dashboard only shows today's visits. Use the Consultations tab to find earlier ones.
- Claims track what the insurer and patient owe, but they don't take payment. Collect the patient's share the way you normally do.
